Job Description
Job Responsibilities

• Organize and maintain Principals’ diaries, co-ordinate schedules, make arrangements for
meetings and appointments including putting up requests for room setups and pantry services for
meetings, registering visitors and receiving visitors at meeting rooms, update and block the
Principals’ events on their calendars, provide secretarial, administrative support;
• Screen and manage calls, enquiries and requests from various stakeholders and handle them
where appropriate, attend to and monitor urgent enquiries and issues, ensure that they are
brought to the Principals’ attention;
• Provide high quality word processing, document preparation, office administration and services;
• Track files circulation and maintain an effective and confidential record system, examine,
evaluate and prioritise correspondences and papers for principals’ attention including handling of
confidential information, ensure records are accurately filed into the systems (EMS / IW);
• Assist in coordinating and organising various events and meetings; and
• Manage corporate/admin tasks for supporting Division such as travel administration, asset
sightings, collateral distributions and maintaining manpower updates.
Job Requirements

• Min. Diploma
• Self-starter, able to work independently & to take initiative;
• Capable of multi-tasking;
• Flexible, keen to learn, & interested in new ideas;
• Highly discreet;
• Good interpersonal skills, with demonstrated ability to get along well and work well with a team;
• Good writing skills;
• Good command of the English Language;
• Proficient in MS Office applications such as Microsoft Word, Excel, Power-point and Outlook.
Generally IT savvy as you will need to learn and work with specialised legal IT systems that the
Agency uses; and
• At least 3 years’ relevant experience in providing administrative/ secretarial support in a fast-paced work environment.

• Working location: Central
• Working hours: Mon - Thurs (8.30am – 6pm) , Fri (8.30am – 5.30pm)
• Salary rate: Up to $2,100 per month (Based on qualifications and experience).
• Contract duration: 1 year contract.
• This is an outsourced role.
